Cinema staff rota template
Build the week's rota in a spreadsheet that does the adding up. List your staff and roles, type each shift, and see paid hours per person and per role, hours against contract, the labour cost from hourly rates, and how many people are on duty in every half hour from before the first show to after the last.
What is in the file

Works in Excel, Google Sheets, LibreOffice and Numbers. Formulas only, no macros. Shifts past midnight are handled. Example names, rates and shifts show how it works; replace them with yours.

The download is a plain spreadsheet with formulas and no macros. Nothing you type into it is sent to us, and there is no sign-up or email wall.
What is in the rota template
- Settings: the week, up to eight roles with the minimum you want on duty while open, the first show start and last show end for each day, how long the team is needed before and after shows, and employer on-costs as a percentage if you want them in the cost.
- Staff: up to 25 people with their main role, hourly rate and contracted hours.
- Rota: for each person and day, a role, start, end and unpaid break. Paid hours, hours over or under contract, and cost per person calculate on the right. Shifts that finish after midnight work.
- Summary: hours and cost by role and by day, total labour cost, and labour as a share of forecast revenue if you enter a forecast.
- Cover: people on duty every half hour for each day of the week, and by role for a day you pick. Times outside the team hours are grey; gaps below your minimums are red.
Example names, rates and shifts are filled in so you can see the formulas working. They are placeholders, not wage benchmarks.
How to use it
Start from the programme, not the staff list. Once you know each day's first show and when the last one finishes, put those times on the Settings tab with the minutes you need before doors and after the last film. The showtime planner lays a week of sessions across your screens if you have not done that yet.
Then fill the Staff tab and type shifts on the Rota tab as 24-hour times. Check the Cover tab: red cells mean fewer people than your minimums while the building is open, usually at changeovers or late on busy nights. Adjust, and watch the Summary tab for the labour cost.
The cost is hours times rate plus your on-cost percentage. Overtime premiums, night rates, holiday pay and break rules depend on contracts and local employment law, so add those yourself where they apply. Frequently asked questions
How do I make a staff rota for a cinema?
Start with the programme: when the first show starts and the last one ends each day, plus the time needed before doors and after the last film. Decide the minimum people per role while open, then place shifts to cover those hours, check the half-hour cover for gaps, and check the hours and cost against your budget.
Does the template handle shifts that end after midnight?
Yes. Type the end time as it is, for example 00:30, and the sheet counts the hours across midnight and shows the cover in the late slots.
Can it work out labour cost?
Yes, from each person's hourly rate and paid hours, plus an optional on-cost percentage for employer taxes and benefits. It does not add overtime premiums or night rates, which depend on your contracts and local law.
Is a rota the same as a staff schedule?
Yes. Rota is the usual word in the UK and Ireland, schedule in the US. The template is the same either way.
