Screening break-even calculator

The programming decision that matters most is whether a given show covers its own cost. Film hire percentage, a minimum guarantee and the cost of opening the hall change that answer far more than most schedules assume.

The screening

Net of VAT and booking fees.
Percent of net box office to the distributor.
Gross profit, not spend.

Cost of putting the show on

Power, cleaning, consumables.
Rent, rates, insurance and salaries divided by the number of screenings you programme. Leave at zero if you only want the marginal decision.
If the booking carries a floor, put it here. Film hire becomes the greater of the percentage and this figure.

A minimum guarantee changes the shape of this completely: below the crossover point you are paying a fixed sum regardless of attendance, so the first admissions are worth far less than the last ones.

Why the minimum guarantee changes everything

Under a straight percentage deal, every admission contributes the same amount, and break-even is a simple division.

Under a minimum guarantee you owe the distributor a fixed sum until the percentage overtakes it. Below that crossover point your marginal admission contributes its full ticket yield rather than the yield less the hire percentage, because the hire is already paid. Above it, you are back to the percentage.

The practical consequence is that a booking with a guarantee is far more sensitive to attendance than one without. A screening that would merely underperform on a percentage deal can lose real money on a guarantee, and the calculator handles both regimes so you can see where the crossover sits.

On allocated fixed cost

There are two different questions here and they deserve different inputs.

Should I play this film at all? Include allocated fixed cost. Rent, rates, insurance and salaried staff have to be carried by the programme as a whole.

Should I add this extra late show? Set allocated fixed cost to zero. The building is already open and already paid for, so the only relevant costs are the marginal ones: staff for the show, power, cleaning and the film hire.

Cinemas routinely drop marginal screenings that were comfortably contributing, because they judged them against a fully allocated cost that the screening never actually caused.

Answers

Frequently asked questions

What film hire percentage should I use?

Use your actual terms for that booking. Percentages vary by title, by week of run and by territory, and a blanket assumption is the fastest way to a wrong answer.

Should I use ticket price or ticket yield?

Yield, net of VAT and anything you pass through. Using gross price makes every screening look better than it is.

Why include concession profit per admission?

Because a screening's contribution is not only the ticket. Use gross profit rather than spend, or the model will flatter the result.

What is a healthy break-even occupancy?

Low enough that ordinary weeknight attendance clears it. If a screening needs a third of the hall on a Tuesday to break even, the terms or the slot are wrong.

Does this work for event cinema and live screenings?

Yes, with one caveat: event cinema often carries a flat licence fee rather than a percentage. Put that in the minimum guarantee field and set the hire percentage to zero.
